About the role
Smartly is seeking a Marketing Project Manager to drive strategic initiatives across the Marketing organization with precision and operational rigor. You will coordinate efforts spanning Brand, Communications, Product Marketing, and Growth Marketing to ensure campaigns and launches align with company objectives. This role owns the end-to-end orchestration of complex projects, focusing on keeping teams synchronized, managing shifting priorities, and delivering measurable results on schedule. You will act as the central point of alignment, translating high-level goals into actionable plans for cross-functional teams. The ideal candidate thrives in a fast-paced environment where agility, clarity, and execution excellence are paramount. You will establish and maintain repeatable structures that enable the organization to scale its marketing efforts efficiently. Ultimately, this position is critical for ensuring that all marketing activities are delivered coherently, transparently, and in line with strategic business goals.

What you'll do
- Oversee planning and delivery of marketing projects such as integrated campaigns, product launches, website work, and major events from initial brief to execution and post-mortem analysis.
- Develop and maintain detailed project plans with timelines, dependencies, resource allocation, and clear deliverables to ensure deadlines are met and risks are proactively managed.
- Run sprint planning, capacity planning, and workload distribution sessions across Design, Marketing, and other cross-functional groups to optimize team efficiency and throughput.
- Collaborate with marketing leadership to set priorities, flag potential roadblocks early, and adjust plans dynamically when business needs or market conditions shift.
- Create and refine repeatable processes, standardized templates, and scalable workflows that improve team output, reduce manual effort, and increase operational transparency.
- Administer and optimize Monday.com boards, automate workflows, and configure integrations with tools like Slack to support smoother execution and real-time visibility.
- Monitor key project milestones, report progress to stakeholders in a concise manner, and hold teams accountable for deliverables against agreed-upon timelines.
- Review project and campaign performance data, build clear reports and executive presentations, and recommend data-driven improvements to delivery and operational processes.
- Facilitate cross-functional alignment workshops to ensure that Brand, Product Marketing, Communications, and Growth Marketing teams share a common understanding of objectives and timelines.
- Manage competing demands and scope changes by evaluating impact on timelines, resources, and business outcomes before approving adjustments.
- Serve as the primary liaison between internal stakeholders and external partners, ensuring that expectations are managed and communication remains consistent.
- Drive the adoption of project management best practices across the organization to foster a culture of accountability and continuous improvement.
- Identify bottlenecks in current workflows and propose practical solutions that enhance speed to market without compromising quality.
- Support the development of case studies and success stories by coordinating inputs from various teams and ensuring on-time delivery of project artifacts.
Requirements
- Proven track record managing marketing projects end-to-end within cross-functional and matrixed environments.
- Hands-on experience with project management platforms such as Monday.com or Asana, including advanced workflow design and automation capabilities.
- Background facilitating Agile or Scrum methods, including sprint planning, backlog refinement, and resource allocation across teams.
- Strong organizational abilities with capacity to juggle multiple priorities, manage competing deadlines, and respond effectively to shifting demands.
- Analytical mindset with data-driven problem-solving skills and the ability to interpret metrics to guide project decisions.
- Clear communication and stakeholder management abilities, including influencing without direct authority and presenting complex information simply.
- Experience working across Brand, Product Marketing, Communications, and Growth Marketing teams to ensure cohesive campaign execution.
- Demonstrated ability to work independently and collaboratively in a fast-paced, high-growth technology environment.
- Comfort with ambiguity and the ability to make progress with incomplete information while maintaining attention to detail.
- Willingness to adhere to company policies, processes, and compliance guidelines in all project activities.
