About the role
The Vendor Management Analyst plays a critical role in ensuring the integrity and efficiency of Oak Hill Advisors' third-party ecosystem by overseeing the full lifecycle of vendor relationships. This position is responsible for monitoring and responding to new and renewed contract requests using the internal contract management platform, ensuring all documentation is complete and compliant. The Analyst will collaborate closely with business users to gather all necessary contract details and specifications required for vendor onboarding. In addition, this role works in tandem with Accounting, FP&A, and Legal teams to collect contract details and guarantee data consistency across all vendor records. A core responsibility involves closely monitoring the contract review workflow to confirm that contracts are processed in a timely and efficient manner. The Analyst will also manage vendor onboarding tasks, including the accurate maintenance of vendor information within internal systems. Furthermore, this position oversees legal invoice processing by utilizing the firm's proprietary coding system to ensure precise allocation. The role further performs tasks for the month-end close process, including legal expense accruals, and generates legal expense reporting to analyze trends for business leaders. Finally, the Analyst assists with ad-hoc projects aimed at improving workflows and addressing field data requests to enhance operational efficiency.

What you'll do
- Monitor and respond to new and renewed contract requests by leveraging the internal contract management platform to maintain accurate records.
- Collaborate with business users to obtain all necessary contract details, ensuring requirements are fully understood and documented.
- Liaise with Accounting, FP&A, and Legal teams to collect contract details and ensure data consistency across vendors and internal systems.
- Monitor the contract review workflow to guarantee contracts are processed in a timely manner, identifying and resolving bottlenecks as they arise.
- Manage vendor onboarding tasks, including entering and maintaining vendor information in internal systems to support accurate onboarding.
- Oversee legal invoice processing by utilizing the proprietary coding system to ensure invoices are correctly categorized and coded.
- Work with internal and external legal teams to gather necessary information to properly allocate and code legal invoices according to firm standards.
- Perform tasks for the month-end close process, including the preparation and review of legal expense accruals for accurate financial reporting.
- Generate legal expense reporting and analyze trends to provide actionable insights to business leaders for decision-making.
- Assist with ad-hoc projects designed to improve workflows and address field data requests, contributing to continuous process optimization.
- Maintain clear and organized documentation for all vendor-related activities to support audit readiness and compliance.
- Support cross-functional initiatives that enhance vendor management practices and strengthen internal controls.
- Communicate regularly with stakeholders to ensure alignment on priorities, timelines, and expectations for vendor engagements.
- Identify opportunities for automation or process improvements within vendor management activities to increase efficiency.
- Ensure compliance with firm policies, regulatory requirements, and contractual obligations for all vendor-related activities.
- Track key performance indicators related to vendor onboarding and invoice processing to monitor operational effectiveness.
- Provide timely updates to management on vendor management activities and any emerging risks or issues.
- Contribute to the development of best practices and standard operating procedures for the vendor management function.
- Participate in periodic reviews of vendor performance and contract terms in coordination with Legal and Finance stakeholders.
- Support special projects as assigned by management to enhance the overall effectiveness of the Corporate Finance function.
Requirements
- Bachelor's degree required with strong academic achievement.
- Advanced computer skills (Microsoft Office Suite) required.
- Strong attention to detail and analytical skills; can manage multiple priorities.
- Excellent organizational and time management skills.
- Strong work ethic, ability to recognize and manage priorities, and adhere to deadlines.
- Must be a quick learner and self-starter, able to perform tasks with minimal supervision.
- Excellent written and verbal communication skills.
Practical notes
Employees are required to follow the in-office work schedule. Currently, OHA's team in Fort Worth follows a hybrid model where employees work in-office Tuesday through Thursday. Employees have the flexibility to work remotely on Mondays and Fridays. This schedule is subject to change based on organizational needs and policies.
