About the role
Under the general supervision of the Facilities Manager, the Project Specialist will own the end-to-end coordination of facilities construction and improvement initiatives across Natera sites. This role plans, manages resources, and supervises contractors to ensure projects are completed on time, within budget, and to quality standards. The Project Specialist will manage Facilities SOPs, support audit preparation, and maintain post-audit documentation for the Facilities Department. They will partner with cross-functional teams to translate business needs into actionable project plans. The role will assist with CAD design and space planning activities to optimize facility layouts. Project goals and scope will be defined in collaboration with stakeholders to align with company objectives. The Project Specialist will define tasks, establish milestones, and allocate resources to drive efficient project execution. They will estimate costs and set budgets while identifying quality requirements and risk mitigation strategies. A key responsibility is setting up and maintaining a communication plan to keep stakeholders informed throughout each project lifecycle.
What you'll do
- Coordinate and supervise contractors for Facilities projects to ensure adherence to timelines and quality expectations.
- Manage Facilities SOPs, maintaining documentation and procedures in a controlled and up-to-date manner.
- Assist with audit preparations and manage post-audit documentation for the Facilities Department to ensure compliance.
- Assist with CAD design and space planning to support efficient and effective facility layouts.
- Identify project goals and scope in collaboration with internal stakeholders and leadership.
- Define tasks, milestones, and required resources to structure project execution clearly.
- Estimate costs and establish project budgets to align with financial constraints and priorities.
- Identify quality requirements and translate them into actionable project standards and controls.
- Establish and maintain a communication plan to ensure stakeholder awareness and engagement.
- Coordinate schedules, deliverables, and dependencies among multiple project activities.
- Track project progress and escalate issues as needed to keep initiatives on track.
- Support change management activities to facilitate smooth adoption of project outcomes.
- Verify that completed work meets specifications, standards, and regulatory requirements.
- Maintain strong relationships with contractors, vendors, and internal teams to foster collaboration.
- Contribute to continuous improvement efforts for Facilities processes and project execution.
Requirements
- Hold a Bachelor's degree in business, engineering, or a related field as the minimum educational qualification.
- Possess relevant professional experience of at least 1 to 3 years in a project or facilities role.
- Demonstrate project management experience, which will be considered a valuable asset for this position.
- Exhibit strong organizational skills to manage multiple priorities and project components effectively.
- Show robust time management abilities to meet deadlines and coordinate project schedules.
- Maintain effective communication skills to interact with stakeholders and team members at all levels.
- Demonstrate proficiency in using a computer keyboard for documentation and communications.
- Engage in professional telephone communication as part of daily project coordination activities.
- Read printed material accurately to review documents, plans, and procedural requirements.
- Be available to work outside normal working hours, including evenings and weekends, when project demands require.
- Perform physical duties that may involve extended periods of sitting or standing while working at a desk or in facility areas.
Nice to have
- Project management experience is a plus for this role and will strengthen candidate suitability.
- Strong organizational, time management, and communication skills are preferred for success in this position.

- This role may require working outside normal working hours, including evenings and weekends, at times.
- The position requires the ability to use a computer keyboard, communicate over the telephone, and read printed material.
Compensation
- The pay range is listed and actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to skill set, years & depth of experience, certifications and specific office location. This may differ in other locations due to cost of labor considerations.
- Austin, TX: $78,500 - $85,000 USD.
