About the role
This role oversees the daily operational functions of a wealth management team operating in a fast-paced environment. The Manager is responsible for ensuring that all internal processes are followed consistently and that team members carry out their duties with accuracy and attention to detail. A central part of the position involves handling money movement transactions, reviewing account paperwork, and serving as the point of contact between Wealth Teams and custodians. The Manager also plays a key role in building a culture of accountability, collaboration, and continuous improvement across the operations department while supporting the broader goals of the firm by ensuring that all operational workflows meet the highest standards of quality and efficiency.

What you'll do
- Input and review money movement transactions using Wealthscape and Charles Schwab platforms on a daily basis.
- Manage the day-to-day execution of operations tasks including account opening paperwork and ongoing account maintenance activities.
- Prepare and review account opening documents for Taxable, Retirement, Trust, and Business account types within custodial systems.
- Serve as the primary liaison between Wealth Teams and custodians to resolve outstanding issues and ensure accuracy.
- Proactively contact custodians each day to confirm that client requests are being processed in a timely manner.
- Delegate tasks to team members and adjust individual workloads to maintain smooth and efficient workflow execution.
- Foster a culture of collaboration, accountability, and continuous improvement within the operations team on a regular basis.
- Manage quarterly projects and maintain internal spreadsheets to track progress, deadlines, and overall completion status.
- Oversee the completion of daily tasks assigned to each team member and provide guidance when needed.
- Support cross-functional teams by coordinating with advisors and custodians on account-related requests and documentation.
- Review and verify the accuracy of all transactional data entered into the Wealthscape system each day.
- Assist with training and onboarding new team members to ensure consistent operational standards across the group.
- Monitor custodian response times and escalate unresolved issues to senior leadership when necessary.
- Maintain organized records of all account-related communications and document resolutions for future reference.
Requirements
- Bachelor's degree in Business Administration, Operations Management, or a related field is required.
- Five to seven years of hands-on experience in financial business operations in a fast-paced setting.
- Demonstrated experience working within a growth-oriented financial services environment with a focus on operations.
- Strong analytical and problem-solving abilities with a consistent attention to detail and accuracy.
- Excellent project management skills with a proven track record of managing cross-functional teams effectively.
- Strong written and verbal communication skills for working with all levels of the organization.
- Ability to manage multiple priorities simultaneously in a high-pressure, deadline-driven environment with composure.
- Proven ability to build and maintain productive working relationships with both internal and external partners.
- Experience delegating responsibilities and coaching team members to improve their operational performance over time.
- Familiarity with compliance requirements and internal controls relevant to financial services operations.
Nice to have
- Prior experience managing a team of operations professionals in wealth management or financial services.
- Familiarity with both Fidelity and Charles Schwab custodial platforms and their respective account workflows.
- Experience with Salesforce or other customer relationship management systems in a financial services context.
- Background in trust administration or business account management within a financial advisory or wealth firm.
- Understanding of tax-advantaged account structures including Retirement and Trust accounts and their specific requirements.

- Wealthscape platform proficiency for transaction input and daily review of money movement activity.
- Charles Schwab platform knowledge for account opening, maintenance, and custodian communication tasks.
- Fidelity platform experience including account type setup, request processing, and document preparation.
- Salesforce for client relationship tracking, internal workflow management, and team coordination.
- Microsoft Excel for maintaining internal spreadsheets, tracking project progress, and reporting.
- Strong analytical skills for reviewing transactional data, identifying discrepancies, and resolving issues.
- Proficiency in standard office productivity tools and document management systems.
