What you'll do
Design intake routines that capture complete vendor details before commitments are finalized.
Construct and manage purchase requisitions and purchase orders while enforcing strict term accuracy.
Review invoices and contracts to confirm alignment with agreed scope, pricing, and conditions.
Input validated data into finance systems to ensure reliable chargeback and forecasting.
Partner with IT and Finance leaders to model scenarios, forecasts, and annual budget strategies.
Champion vendor performance tracking to maintain visibility into service levels and associated risks.
Guard renewal schedules and documentation to prevent missed critical dates or lapses.
Clarify billing discrepancies and payment queries with vendors using organized and precise records.
Maintain a centralized repository of contract terms, expiration dates, and key milestones for easy reference.
Collaborate with stakeholders to define requirements and ensure vendor solutions meet operational needs.
Monitor purchase order status to ensure timely fulfillment and delivery of goods or services.
Investigate variances between budgeted and actual spend to support cost control initiatives.
Coordinate cross-functional communication to resolve vendor-related issues efficiently.
Provide regular updates to management on vendor performance, contract compliance, and procurement trends.
Requirements
Bachelor's degree in Finance, Accounting, Business Administration, Information Technology, or a related field is required.
Three years of experience in procurement, vendor management, contracts administration, or financial operations is required.
Proficiency with Microsoft Excel for data analysis, reporting, and reconciliation is required.
Organizational, analytical, and communication skills to manage multiple priorities and deadlines are required.
Ability to understand and interpret financial data, including invoices, purchase orders, and budget reports.
Strong attention to detail to ensure accuracy in documentation, data entry, and contract review.
Commitment to adhering to company policies, procurement procedures, and regulatory requirements.
Capacity to handle sensitive information with confidentiality and maintain vendor relationship integrity.
Willingness to follow established workflows and support internal controls for financial transactions.
