About the role
You are responsible for owning the end to end operations of our San Francisco headquarters on a daily basis. This role requires you to manage the physical environment, the employee experience, and all vendor relationships with a high degree of ownership. You will ensure the office remains a clean, stocked, and organized environment that reflects our standards and values. Acting as the primary point of contact for guests, new hires, and visitors, you will represent the company's culture and professionalism. You will coordinate in-office events, team gatherings, and company offsites hosted at the HQ, ensuring seamless execution. You will manage facility operations, including vendor oversight, building maintenance, and supply inventory to prevent disruptions. You will implement and maintain workplace technology for desk booking, visitor management, and mail services to optimize efficiency. You will use AI tools to automate manual tasks, ticketing, and vendor communications to reduce friction and save time.

What you'll do
Open and prepare the office daily to ensure a clean, stocked, and organized environment that supports productivity.
Act as the primary point of contact for guests, new hires, and visitors, providing a welcoming and informative experience.
Coordinate in-office events, team gatherings, and company offsites hosted at the HQ, managing logistics from start to finish.
Manage facility operations, including vendor oversight, building maintenance, and supply inventory to maintain operational continuity.
Oversee the office budget, track utilization, and collaborate with the Finance department to ensure financial efficiency.
Implement and maintain workplace technology for desk booking, visitor management, and mail services to streamline processes.
Develop and document standard operating procedures and playbooks for office management to ensure consistency and scalability.
Lead site safety protocols, including emergency planning and first aid procedures, to maintain a secure work environment.
Use AI tools to automate manual tasks, ticketing, and vendor communications to improve accuracy and reduce manual effort.
Support real estate planning, space optimization, and office moves by managing timelines, vendors, and stakeholder communication.
Maintain inventory management systems for office supplies, hardware, and equipment to prevent shortages and overstock.
Partner with cross-functional teams to support onboarding, offboarding, and workspace changes with minimal disruption.
Monitor and report on key operational metrics to identify trends, risks, and opportunities for improvement.
Serve as a strategic partner to leadership by providing data-driven recommendations that enhance the workplace experience.
Requirements
- 4 to 6 years of experience in office management, facilities, or workplace operations within a high-growth technology company.
- Proven ability to manage workplace systems such as ticketing, room scheduling, and visitor management.
- Demonstrated AI fluency with a focus on using tools like Claude to automate workflows.
- Strong organizational skills with a focus on documentation, project management, and budget tracking.
- Ability to maintain a consistent, full-time, on-site presence.
- A hospitality-oriented mindset with a focus on high-quality service and proactive problem-solving.
- Experience managing budgets and financial reporting in a fast-paced environment.
- Excellent written and verbal communication skills with attention to detail and accuracy.
Nice to have

- Familiarity with LangChain, LangGraph, or LangSmith tools.
