Position Overview
Service Purchasing Administrator
The Service Purchasing Administrator role is responsible for end-to-end service purchasing, from initial intake through final shipping and reconciliation. This position safeguards accuracy and compliance while processing warranty claims, purchase orders, and service inventory documentation. You will collaborate closely with service teams, vendors, and finance professionals to ensure smooth operations. The role reports to the Accounting Manager and works directly with the Service Department to meet operational and financial goals. Location for this position is Lancaster, Pennsylvania, and the engagement is full-time. Base compensation for this role is $58,000 annually.
Day-to-Day Responsibilities
You will route supplier requests and verify service part codes to ensure correct application. Coordinating intake of service orders, you will confirm vendor availability within required timelines and resolve potential constraints. Generating purchase orders and warranty documentation, you will maintain organized vendor records for future reference. Reviewing pricing accuracy and coding compliance, you will approve service purchases only after thorough verification. Shipping materials for service jobs, you will reconcile inventory to prevent shortages or overstock situations.
Partnering with service technicians and manufacturers, you will resolve warranty returns and process credits efficiently. Supporting month-end reporting, you will complete account reconciliations related to service operations and assist with data validation. Confirming adherence to internal controls, company policies, and purchasing procedures is a consistent expectation. You will handle administrative tasks that connect service, accounting, and vendor communications on a daily basis. Managing multiple priorities with precision, you will document all service purchasing activities thoroughly and accurately.
Required Qualifications and Experience
Candidates must hold an associate degree in Accounting, Business Administration, or a related field. You should bring a minimum of two years of experience in administrative, accounting, purchasing, or service department roles. A strong understanding of purchasing procedures and warranty administration in a service context is essential. Proficiency with Microsoft Office, particularly Excel and accounting tools, is required. You must demonstrate excellent organizational skills, attention to detail, and the ability to sustain accuracy under multiple deadlines. Clear communication and problem-solving abilities are necessary when interacting with vendors and manufacturers. You will balance multiple priorities without compromising accuracy in documentation or data entries. A 3:2 working schedule is in place, with three days in the office and two days remote.

About the company
Kelso Industries builds scientific research vessels for government marine operations. The company name honors the late Dr John Kelso, a scientist with the Department of Fisheries and Oceans. This background is reflected in the design of vessels built to support fisheries research and water quality work. The lead vessel is a "Near Shore Fisheries Research Vessel" used for trawls, box core sampling, bottom sampling, and water quality sampling. It was commissioned in 2009 and built by ABCO Industries Lunenburg Shipyard. The vessel was ordered by the Canadian Coast Guard to replace the retiring CCGS Shark and operates from CGS Base Burlington in the Central and Arctic Region. The ship has a maximum speed near 16 knots and a cruising speed near 14 knots. Fuel capacity is about 2,848 litres, with additional water storage of 500 litres. Accommodation includes seating for ten passengers and a crew of three. This configuration supports day trips and focused research campaigns in coastal and nearshore waters.
