About the role
Issgh is looking for a Vessel Coordinator based in India to manage and oversee vessel-related operations on a daily basis. This role involves planning, scheduling, and coordinating activities related to vessel movements, maintenance cycles, and crew rotations across the fleet. The coordinator will serve as a key point of contact for vessel operations and ensure that all tasks are completed on time and in compliance with relevant maritime standards. The position requires strong organizational skills, attention to detail, and the ability to work across multiple teams and external partners simultaneously.

What you'll do
- Coordinate vessel schedules and ensure timely departures and arrivals for all assigned ships in the fleet
- Monitor vessel maintenance timelines and arrange for servicing at appropriate intervals to prevent operational delays
- Liaise with port authorities and customs officials to facilitate smooth clearance procedures for incoming and outgoing vessels
- Track cargo manifests and verify that loading and unloading operations follow planned timelines without deviation
- Maintain detailed records of vessel movements, fuel consumption, crew rotations, and daily operational logs
- Communicate with ship captains and onboard crews to relay operational instructions, updates, and safety notices
- Review weather forecasts and sea conditions regularly to adjust voyage plans when necessary for safety
- Prepare comprehensive reports on vessel performance metrics for management review on a weekly basis
- Coordinate with procurement teams to ensure spare parts, supplies, and necessary equipment are available onboard
- Ensure compliance with international maritime safety regulations and environmental protection standards at all times
- Support the planning of vessel dry-dock periods and coordinate with shipyards for repair and refit work
- Assist in managing vessel insurance documentation and renewal processes to maintain continuous coverage
- Collaborate with finance teams to review vessel operating costs and budget allocations for each voyage period
Requirements
- Minimum of three years of experience in vessel coordination or maritime operations in a professional setting
- Demonstrated familiarity with international shipping regulations, port procedures, customs clearance requirements, and standard maritime protocols
- Strong written and verbal communication skills in the English language with the ability to draft clear reports
- Ability to manage multiple vessels simultaneously and prioritize competing operational demands under tight deadlines consistently
- Working proficiency with standard office software and vessel tracking systems for daily operational coordination
- Willingness to work in a fast-paced environment with shifting priorities and occasional weekend responsibilities
- Attention to detail when reviewing logs, manifests, compliance documents, and other critical operational records
- Educational background in maritime studies, logistics, supply chain management, or a related field is required
Nice to have
- Prior experience working with vessel management software platforms is highly valued and considered a strong advantage
- Working knowledge of Hindi or regional languages spoken in Maharashtra will be helpful for local coordination
- A certification in maritime safety or environmental management is considered beneficial for this role
- Hands-on experience coordinating with international ports and foreign shipping agencies is a plus for this position
- Understanding of fuel efficiency practices and vessel performance optimization methods is desirable for the right candidate

- Hands-on practical experience using vessel tracking and monitoring software applications for real-time operational awareness
- Working knowledge of maritime communication platforms for coordinating with ships, ports, and shore-based teams
- Proficiency in the Microsoft Office suite for reporting, documentation, and data management on a daily basis
- Experience with cargo management and logistics tracking systems to monitor freight movements and delivery status
- Hands-on working knowledge of regulatory compliance tracking tools and procedures to ensure adherence to standards
- Proficiency with email and calendar scheduling applications for daily coordination and meeting management

- The role is based at the office located on Thane- Belapur Road in Airoli, Navi Mumbai, Maharashtra, which is easily accessible by local transport
- Full-time hours are expected with occasional overtime during peak shipping periods and busy seasonal windows
- The position reports directly to the operations management team at Issgh for day-to-day guidance
- Candidates should be prepared to work closely with both internal teams and external maritime partners on a regular basis
