What you'll do
- Conduct thorough assessments of physical documents and materials to determine the best digitization methods and technologies to employ.
- Operate and maintain high-quality scanning equipment, ensuring that all digitized materials meet established quality standards.
- Collaborate with archivists and other specialists to develop and implement digitization workflows that optimize efficiency and accuracy.
- Organize and catalog digital files systematically, ensuring that they are easily retrievable and properly indexed for future use.
- Perform quality control checks on digitized materials to identify and rectify any issues, ensuring that all outputs are of the highest quality.
- Assist in the development of best practices and guidelines for digitization processes, contributing to the continuous improvement of our operations.
- Provide training and support to junior staff and interns on digitization techniques and equipment usage.
- Maintain detailed records of digitization projects, including timelines, equipment used, and any challenges encountered, to inform future projects.
- Stay updated on the latest trends and technologies in digitization and archival practices to enhance the effectiveness of our processes.
- Participate in team meetings and contribute ideas for improving workflow and increasing productivity within the digitization department.
- Engage with external partners and vendors as necessary to ensure that all digitization projects align with industry standards and best practices.
- Assist in the preparation of reports and presentations regarding digitization projects for internal stakeholders and management.
Requirements
- A minimum of 3 years of experience in digitization, archiving, or a related field, with a proven track record of successful projects.
- Proficiency in operating various scanning equipment and software, including Adobe Creative Suite and document management systems.
- Strong attention to detail and a commitment to maintaining high-quality standards in all work outputs.
- Excellent organizational skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
- Familiarity with metadata standards and practices, including Dublin Core and MARC, to ensure proper cataloging of digital materials.
- Strong communication skills, both written and verbal, to effectively collaborate with team members and stakeholders.
Nice to have
- Experience with digital preservation techniques and tools, including knowledge of file formats and storage solutions.
- Familiarity with archival standards and practices, such as those set by the Society of American Archivists (SAA).
- Previous experience in a library or archival setting, particularly in a digitization role.
- Knowledge of project management software and tools to assist in tracking project progress and timelines.
Skills & tools
- Proficient in scanning and digitization technologies, including high-speed scanners and imaging software.
- Familiarity with database management systems and digital asset management tools.
- Strong analytical skills to assess and improve digitization processes.
- Ability to work independently and as part of a collaborative team.
- Competence in using Microsoft Office Suite, particularly Excel for tracking and reporting purposes.
