What you'll do
Coordinate and supervise the Staff Introductory Period, Mid‑Year Check‑In, and Year‑End performance evaluation cycles, including timeline implementation, completion monitoring, and issue resolution for supervisors and staff.
Maintain performance and compensation tracking structures within the firm, ensuring data integrity, accurate reporting hierarchies, and current supervisory relationships across all offices.
Manage HR-related files and documentation in strict accordance with departmental standards, confidentiality protocols, and archival requirements.
Verify and generate employment verification records and formal employment letters, ensuring accuracy and compliance with internal and external requests.
Administer the business card lifecycle, encompassing order management, log maintenance, inquiry response, and historical request research.
Serve as a primary resource through the department email account and phone line, delivering responsive support and clear guidance to staff, management, and attorneys across all offices.
Oversee the administration of the monthly service award program, including report generation, stakeholder notification, and timely recognition execution.
Input, audit, and maintain staff, attorney, partner, and alumni records in the HRIS (PeopleSoft) and related databases to uphold accuracy and consistency across systems.
Address employment‑related inquiries from applicants, employees, and supervisors, escalating complex or sensitive matters to appropriate channels while preserving confidentiality.
Deliver guidance to personnel on HR-related subjects such as benefits, payroll, and firm policies, acting as a knowledgeable point of contact.
Provide high-level administrative support to HR leadership through document preparation, complex scheduling, and strategic project assistance.
Execute additional responsibilities as assigned to sustain the broader HR function, including cross‑training and flexible support across other HR operational areas.
Monitor process effectiveness and recommend procedural adjustments to enhance the accuracy and efficiency of HR services.
Ensure strict adherence to firm policies, regulatory requirements, and data protection standards in all HR related activities.
Requirements
Possess a Bachelor's degree in Human Resources, Business Administration, or a closely related discipline, which is strongly preferred for this role.
Demonstrate advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint as essential tools for daily operations and reporting.
Bring 1-3 years of prior HR experience, ideally within a law firm or professional services setting, to ensure familiarity with complex employment matters.
Exhibit exceptional organizational abilities to simultaneously manage timelines, track progress, and maintain accurate documentation across multiple initiatives.
Apply meticulous attention to detail to guarantee data integrity across performance, compensation, and HRIS tracking systems, minimizing errors and discrepancies.
Uphold the ability to maintain strict confidentiality and exercise discretion when handling sensitive employee information and strategic firm data.
Employ strong written and verbal communication skills to professionally respond to inquiries from diverse stakeholders, including staff, managers, and attorneys.
Showcase a customer‑service orientation focused on addressing firmwide inquiries and delivering clear, accurate guidance on all HR‑related topics.
Develop competency in learning and utilizing HR systems and databases, such as PeopleSoft, to ensure efficient data management and reporting.
