What you'll do
- Coordinate all aspects of event planning, including venue selection, catering, and audiovisual requirements to ensure a successful execution of events.
- Manage hotel bookings for clients, ensuring that accommodations meet their needs and preferences while adhering to budget constraints.
- Serve as the primary point of contact for clients, addressing inquiries and providing updates throughout the planning process.
- Develop and maintain strong relationships with vendors, suppliers, and venue managers to secure the best services and rates for events.
- Create detailed event timelines and checklists to ensure all tasks are completed on schedule and within budget.
- Conduct site visits to potential venues, assessing their suitability for various types of events and providing recommendations to clients.
- Collaborate with marketing teams to promote events and enhance visibility through various channels, including social media and email campaigns.
- Monitor event budgets, tracking expenses and ensuring that all financial aspects are managed effectively.
- Prepare post-event reports that evaluate the success of each event, gathering feedback from clients and attendees to inform future planning.
- Assist in the development of event materials, including programs, signage, and promotional items, ensuring they align with the event's branding.
- Stay updated on industry trends and best practices in event management to continuously improve service offerings and client satisfaction.
- Participate in team meetings and contribute ideas for enhancing operational efficiency and client engagement.
Requirements
- A minimum of 2 years of experience in event planning or hotel management, preferably in a corporate or hospitality setting.
- Strong organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail.
- Excellent communication skills, both written and verbal, to effectively interact with clients, vendors, and team members.
- Proficiency in event management software and tools, as well as Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
- Strong problem-solving skills and the ability to remain calm under pressure, especially during high-stress situations.
- A degree in hospitality management, event planning, or a related field is preferred but not mandatory.
