About the role
You will own the entire non-engineering, non-GTM, and non-design operational scope of the business. You are responsible for finance operations until our Head of Finance arrives, handling all legal administration and contracts, driving people ops and onboarding, managing office logistics across San Francisco and Prague, overseeing vendor management, and owning the internal tools that keep the company running. This is a hands-on position for the first six to twelve months where you will personally execute payroll, renegotiate the office lease, and repair the broken Notion system. As the organization expands, this position transitions into a clear COO-track trajectory where you will build and lead a functional team beneath you. You will work in close partnership directly with Vasek, the Chief Executive Officer, and Tomas, the Head of Engineering, to align operations with company strategy.

What you'll do
- Architect the operating cadence for the company by establishing weekly leadership rituals, monthly board preparation, and quarterly planning sessions that currently occur in an ad-hoc manner and transform them into repeatable processes.
- Execute people operations end-to-end across multiple jurisdictions, including managing offers, onboarding new hires, administering payroll across US and EU entities, handling benefits administration, processing equity grants, overseeing the performance review process, and managing offboarding procedures.
- Partner with Talent on recruiting operations where the recruiting function intersects with HR, covering offers, references, background checks, and work authorization to ensure a seamless candidate experience.
- Own all legal administration for the business by managing customer contracts, vendor agreements, non-disclosure agreements, and contractor master service agreements specifically for our EU hires, working closely with external counsel to turn around redlines and maintain accurate contract tracking.
- Run office and team logistics across two offices in two different countries, handling two separate payroll regimes, organizing occasional team offsites, and managing equipment provisioning and real estate decisions that provide the foundational infrastructure for engineering productivity.
- Eliminate vendor and tool sprawl by conducting oversight of every SaaS bill, managing contract renewals, answering procurement questions, performing security reviews, and driving cost optimization initiatives to ensure efficient spend.
- Establish the bench and prepare for future growth by hiring your direct replacements, including an HR/people lead and a finance hire, and by defining those roles and running the associated search processes.
- Build and maintain the internal systems and tools that make the company run smoothly, ensuring data integrity and operational efficiency across all business functions.
Requirements
- Possess a minimum of 6+ years in operations roles, with at least 2-3 years of that experience occurring at a Series A or Series B startup that successfully scaled headcount from 30 to 100 employees, where you personally witnessed the organization double in size and understand what operational failures occur during rapid growth.
- Demonstrate generalist DNA where you are comfortable owning finance tasks one week, legal administration the next, and rewriting the offer letter template on a Friday night without requiring a defined function to be effective.
- Exhibit strong numerical literacy where you are comfortable working directly in spreadsheets, able to read a profit and loss statement, and capable of modeling headcount and burn without needing to hand the model off to another person to remain useful in decision-making.
- Show a real track record of ownership where you have personally built or rebuilt at least two of the following critical systems: a payroll process, an offers or equity management process, a contracts pipeline, a close cycle, a board reporting cadence, or a vendor management process, emphasizing personal execution rather than managing a team that accomplished these tasks.
- Operate at the speed of engineering, recognizing that the company ships products quickly and that operations must keep pace with this velocity to avoid becoming a bottleneck.
- Commit to working in person from San Francisco, where you will sit next to the CEO and the leadership team on a daily basis to foster close collaboration.

Nice to have
- Prior experience in a chief-of-staff role at a venture-backed B2B startup, bringing that strategic advisory background to the operations function.
- Demonstrated experience operating across both US and EU entities, including a working knowledge of EU contractor models, GDPR compliance requirements, and the complexities of entity setup in European markets.
- Background in scaling both people ops and recruiting ops simultaneously, understanding that these functions touch constantly during fast growth phases and require integrated processes.
- Familiarity with B2B SaaS finance, particularly companies with usage-based revenue models, to better understand billing nuances and customer contract structures.
- Previous consulting experience at firms like Bain, McKinsey, or BCG is acceptable provided you have spent the years since that engagement actually operating within a company rather than solely running reports and analyses.
Practical notes
The role is based in San Francisco and requires in-person presence four days per week with one day of remote work. Employment is full-time with an expectation of immediate start due to the rapid growth trajectory. The position reports directly to the CEO and involves significant travel between the San Francisco and Prague offices.
