About the role
You will own the end to end planning of complex leisure travel for discerning clients who seek seamless luxury experiences. You translate abstract client dreams into detailed, executable itineraries that cover flights, accommodations, activities, and transfers across the globe. You act as the primary point of contact for clients, providing empathetic guidance and clear communication from initial inquiry to final invoice. You leverage established supplier relationships and negotiated rates to secure value while maintaining the highest standards of service. You are responsible for maintaining accurate records in the booking system and ensuring all documentation complies with host agency protocols. You proactively identify opportunities to enhance client journeys through thoughtful add ons and local insights. You contribute to the overall reputation of the brand by ensuring every touchpoint reflects professionalism and care. You embrace feedback and continuously refine your approach based on client preferences and emerging trends.

What you'll do
Coordinate the complete booking process for luxury vacations, honeymoons, destination weddings, and group getaways with precision and attention to detail.
Research and recommend destinations, resorts, and experiences that align with client interests, risk profiles, and budget parameters.
Build and manage complex travel itineraries that integrate flights, hotels, transfers, tours, and dining reservations into a cohesive plan.
Negotiate rates and secure concessions with suppliers, hotels, cruise lines, and activity providers to optimize value for clients.
Utilize online booking platforms and global distribution systems to create accurate reservations and modify reservations as needed.
Provide clear, professional communication through email, phone, and messaging channels, ensuring clients feel informed and supported.
Monitor travel advisories, entry requirements, and health protocols to ensure client safety and compliance for international trips.
Track supplier promotions, FAM opportunities, and industry discounts to pass savings and added value to clients.
Collaborate with internal teams and external partners to resolve issues, manage changes, and confirm seamless execution.
Stay current on travel trends, new destinations, and product offerings through ongoing education and industry resources.
Support clients with documentation needs such as invoices, receipts, and summary reports for expense tracking and reimbursement.
Identify cross sell opportunities and suggest upgrades that enhance the travel experience without compromising budget goals.
Maintain organized records in the booking system, ensuring all reservations are traceable and retrievable for future reference.
Represent the host agency in a professional manner, building trust and long term relationships with clients and vendors.
Requirements
You possess a strong passion for travel and a genuine desire to help others design meaningful, memorable experiences.
You demonstrate excellent verbal and written communication skills, with the ability to listen actively and respond thoughtfully.
You are self motivated and disciplined, capable of managing your schedule and delivering high quality work without direct supervision.
You have the ability to quickly learn and effectively use online booking platforms, content management systems, and digital tools.
No prior travel industry experience is required, as comprehensive training and mentorship will be provided from the start.
You are comfortable working remotely and understand the importance of meeting deadlines and honoring client commitments.
You have access to reliable internet connectivity and a suitable workspace that supports professional phone calls and focus.
You are detail oriented and organized, with strong problem solving skills and the capacity to manage multiple priorities.
