You own the full lifecycle of day-to-day administrative operations, acting as the first point of contact and the last line of coordination for internal and external needs. This role gives you direct ownership of how our team works, from the tools in their hands to the experience in the room. You will design, implement, and sustain the systems that make collaboration seamless and efficient. You proactively identify friction points and solve them before they interrupt the work our crew is doing to create connections for leading brands. You champion resourcefulness, data-informed decisions, and continuous improvement in every process you touch. You will partner closely with our global team to ensure our local office reflects the same high standards of professionalism and innovation. Your work will be visible in the small details that make each day easier, safer, and more productive for everyone.
Key facts
What you'll do
Coordinate and optimize daily administrative workflows across our Chicago office to support a high-performance, efficient crew environment.
Own and evolve the end-to-end management of office resources, including space, equipment, vendors, and budgets to ensure operational excellence.
Implement and maintain rigorous office policies and procedures that are intuitive, documented, and consistently followed by all crew members.
Serve as the central intake and routing hub for all office requests, inquiries, and issues, triaging each item to the appropriate internal owner.
Manage and oversee the full lifecycle of contracts with key vendors, from initiation and negotiation through to performance review and renewal.
Lead proactive planning and execution of office moves, upgrades, and special projects with clear timelines, risk management, and stakeholder communication.
Partner with our global teams to standardize best practices across offices while adapting solutions to meet the specific needs of our Chicago location.
Maintain and report on key operational metrics and KPIs to drive transparency, accountability, and continuous improvement in office performance.
Champion the adoption and effective use of our content management system and digital hardware to ensure technology serves the way we work.
Oversee the health, safety, and security of the office environment, ensuring full compliance with local regulations and internal standards.
Coordinate and manage all facilities related service relationships, ensuring SLAs are met and the office remains a premium environment.
Develop and maintain strong relationships with key external partners, ensuring alignment on objectives, timelines, and quality of service.
Support the planning and execution of team events, learning sessions, and celebrations that reinforce our culture and sense of crew.
Act as a systems thinker, identifying process gaps, proposing solutions, and driving improvements that scale across our network of offices.
Requirements
You must be legally authorized to work in the United States without sponsorship, and this role is not eligible for remote or hybrid arrangements.
You must reside in the Chicago metropolitan area or be willing to relocate to this region to fulfill the responsibilities of this role.
You must have at least 5 years of progressive administrative experience, with a demonstrated track record of managing complex operational environments.
You must have direct, hands-on experience managing office operations, facilities, and vendor relationships in a fast-paced, growth-stage setting.
You must have a proven history of owning and implementing office policies, ensuring compliance, and mitigating operational risk.
You must have advanced-level proficiency in Microsoft 365, including expert-level skills in Word, Excel, and PowerPoint, to build clear documentation and reports.
You must have experience managing complex budgets and financial processes, including forecasting, variance analysis, and month-end close activities.
You must have a strong understanding of human resources policies and procedures, including onboarding, offboarding, and general employee relations support.
You must be able to manage multiple high-priority initiatives simultaneously, demonstrating exceptional organizational skills and judgment.
You must have excellent written and verbal communication skills, with the ability to communicate professionally with stakeholders at all levels.
You must be highly organized, detail-oriented, and comfortable managing confidential information with discretion and integrity.
You must be comfortable using content management systems and interacting with APIs or hardware integrations when required.
You must be comfortable working in a dynamic, rapidly evolving environment where priorities can shift quickly and adaptability is essential.
You must be willing to occasionally work evening hours or weekends to support global meetings or critical operational needs.
You must be able to travel domestically for company events, meetings, or training as required, not to exceed 10% of working time.
You must be authorized to work in the United States and not require work authorization sponsorship from the company for this role.
Nice to have
Experience working in a technology or hardware deployment environment, particularly in quick service restaurants or high-traffic consumer settings.
Familiarity with our proprietary content management system and signage solutions, including a basic understanding of how digital hardware and CMS integrations work.
Experience supporting global teams across multiple time zones and coordinating cross-regional initiatives.
A background in sustainability or waste reduction practices within an office environment.
