Benefits Administrator Role
This position is responsible for administering benefits and leave for our North American markets, which include the United States and Canada. The role involves primary ownership of benefits and leave administration, policy management, and regulatory compliance. You will serve as the central expert for all employee-related inquiries. Key duties include managing enrollments, qualifying life event changes, and coordinating with vendors and brokers. You will handle employee questions, resolve issues, and manage data entry across multiple platforms, including HiBob, ADP, and carrier systems.
The role also involves administering leaves of absence, coordinating global mobility activities for North America, and creating and maintaining People & Culture policies and processes. You will ensure compliance with applicable laws and internal requirements. Additional responsibilities include supporting benefits-related payroll changes, variance reporting, and providing backup payroll support as needed. This position is integral to strengthening benefits administration, leave management, policy governance, compliance, and the overall employee experience.
Key Responsibilities
You will manage the intake of benefits changes and life events for North America. This includes updating records in HRIS systems like HiBob and ADP.
You will build and update policies and procedures that explain benefits rules and leave processes for internal teams and external partners.
You will review vendor and carrier requirements to confirm eligibility, coverage details, and system configurations before implementation.
You will ship accurate benefits updates and leave tracking. This includes running reports in ADP and carrier systems to validate data integrity.
You will partner with global mobility teams and brokers to manage relocations, international benefits, and cross-jurisdictional compliance.
You will enter qualifying life event details into HR platforms. You will ensure documentation meets legal standards and internal audit requirements.
You will support payroll integration for benefits deductions and voluntary elections. This includes investigating variances and resolving data issues.
You will back up payroll operations during peak periods. This involves validating time-sensitive changes and communicating status to stakeholders.
You will maintain policy documents and process maps. This ensures teams understand workflows, decision points, and escalation paths for complex cases.
You will champion continuous improvement by proposing automation, clearer templates, and training. This will reduce errors and improve employee guidance.
Requirements
You have three to five years of experience in benefits administration, HR operations, or a related field within a complex environment.
You have experience managing benefits systems such as HiBob and ADP. You understand how data moves between these systems and carrier platforms.
You have a proven ability to handle life event changes, leave of absence cases, and compliance requirements for North American regulations and internal policies.
You can communicate clearly with employees, vendors, brokers, and internal stakeholders to resolve questions and prevent enrollment issues.
You strictly follow data entry protocols in HRIS, payroll, and benefits systems to maintain accurate and audit-ready records.
Nice to Have
Experience working in Quick Service Restaurant environments or with global hardware deployments.
Tools and Skills
Proficiency with HiBob, ADP, and carrier platforms.
