About the role
The Systems Support Specialist is a vital member of the team responsible for supporting and enhancing the company's property management systems and related software platforms. This role involves developing and implementing specialized reports, assisting with new system integrations, and maintaining existing systems to ensure operational efficiency. The specialist will serve as the primary point of contact for support inquiries, troubleshooting issues, and providing technical assistance to team members. They will also be involved in software migrations, rent calculations, and month-end reporting processes, contributing to the overall success of property management operations. The position requires a proactive approach, strong technical skills, and the ability to work independently in a remote environment while collaborating effectively with various teams.
Key facts
What you'll do
- Manage and oversee property management software and Quickbase systems, creating tailored reports to meet operational needs.
- Maintain and optimize reporting capabilities within Quickbase, performing backend system updates and troubleshooting as needed.
- Regularly update Tableau workbooks on a weekly basis to ensure data accuracy and relevance for reporting purposes.
- Assist with month-end reporting procedures, ensuring timely and accurate submission of reports.
- Support and facilitate software migrations, including planning, execution, and post-migration support activities.
- Develop, configure, and maintain the Microsoft Dynamics CRM platform within Office 365, including implementing new functionalities, tracking bugs, and managing user access.
- Integrate systems with Microsoft Flow, creating triggers for employee status changes, workbook updates, and other automation workflows.
- Design and develop Microsoft Forms for various purposes such as surveys, due diligence, and data collection activities.
- Build and enhance Asset Power Apps, focusing on improving user interfaces and front-end functionality to streamline workflows.
- Create, manage, and distribute reports using PowerBI and Microsoft Reporting Services, ensuring data visualization aligns with business needs.
- Extract, analyze, and interpret data from multiple sources, ensuring compliance with business rules and maintaining data quality standards.
- Develop dashboards, visualizations, and reports using Tableau and PowerBI to support decision-making processes.
- Manage user access and file workflows within ShareFile, ensuring secure and efficient document management.
- Generate custom reports on a weekly and monthly basis as requested by management or team members.
- Provide technical support and resolve support tickets related to system issues or user inquiries promptly.
- Assist with special projects related to system enhancements, data analysis, or process improvements.
- Collaborate with cross-functional teams to ensure system integrations and data flows are functioning correctly.
- Maintain documentation of system configurations, processes, and workflows for future reference.
- Note: This position does not involve travel or on-site visits, as it is fully remote.
Requirements
- A Bachelor's Degree is preferred; alternatively, candidates with two years of experience in housing, property management, or related fields will be considered.
- Familiarity with property management software such as ResMan, Entrata, or RealPage is preferred, with an understanding of their core functionalities.
- Strong proficiency in on-site software functions, including report creation, user management, and system support.
- Advanced computer skills, including experience with Microsoft Office Suite, especially Excel, Word, and Outlook.
- Experience in developing and distributing reports, managing user access, and supporting software systems.
- Analytical skills with the ability to interpret complex data and troubleshoot issues efficiently.
- Excellent communication skills, capable of providing clear instructions and support to team members and clients.
- A customer-focused attitude with a commitment to delivering high-quality service internally and externally.
- Ability to work independently in a remote setting, managing multiple priorities effectively.
- Strong problem-solving skills, with the capacity to analyze issues quickly and implement solutions.
- Knowledge of data security and compliance standards relevant to property management systems is a plus.
- Experience with system migrations and integrations is advantageous but not required.

- Experience with data integration and management tools beyond Microsoft Flow, such as Zapier or custom APIs.
- Familiarity with additional reporting and analytics software, including other BI tools or custom dashboards.
- Knowledge of scripting or programming languages like PowerShell, Python, or SQL to support automation and data analysis tasks.
- Understanding of property management industry standards and best practices.
- Experience working with cloud-based platforms and SaaS solutions.
