About the role
You own the full scope of facility operations at the Alliance Defending Freedom office in Plano, Texas, ensuring the environment reflects the organization's mission and values. You will serve as the primary liaison between the internal team and external vendors, maintaining seamless communication to support daily operations. In this role, you safeguard the integrity of the workspace while supporting the organization's commitment to religious freedom, free speech, and the sanctity of life. You manage vendor relationships, oversee maintenance and security protocols, and coordinate event support to ensure every function runs smoothly. You are responsible for managing mailroom operations, requisitions, and budget-conscious purchasing decisions. You ensure compliance with building policies and foster a secure, professional, and welcoming environment for all Team Members and guests. You contribute directly to the organization's mission by enabling staff to focus on their core work without operational distractions. You represent the professionalism and stewardship expected of Alliance Defending Freedom in all facility-related activities.
Key facts
What you'll do
Coordinate vendor relations by negotiating and managing service and maintenance contracts to ensure reliable facility support.
Oversee requisitions and accounting processes by purchasing office and break room supplies, reconciling shipments, processing payments, and supporting budget planning.
Ensure facilities operations by collaborating with the security team to maintain property integrity and safety standards.
Serve as the primary point of contact with the landlord and property manager, coordinating maintenance, parking, deliveries, and tenant amenities.
Manage workspace configurations and inter-office moves while maintaining strong tenant relationships and addressing Team Member needs.
Coordinate repairs and perform minor maintenance and housekeeping tasks, addressing service requests and running errands as needed.
Act as the Facilities Team contact for event planning and execution, resolving facilities-related requests and ensuring compliance with building policies.
Oversee mailroom operations, including receipt, sorting, and distribution of incoming correspondence and packages.
Process purchase orders and manage vendor invoices, ensuring accuracy and timely resolution of billing issues.
Support procurement activities by sourcing quotes, comparing vendors, and facilitating purchasing decisions within budget parameters.
Maintain detailed records of all facility activities, service requests, and vendor interactions for accountability and reporting.
Promote workplace safety and security by monitoring facility conditions and responding promptly to potential hazards or concerns.
Assist in managing office amenities and tenant services to ensure a comfortable and productive work environment.
Support special projects as assigned, demonstrating flexibility and commitment to the organization's broader mission.
Requirements
You must be legally authorized to work in the United States without sponsorship, as this position does not currently support work authorization sponsorship.
You must reside in or be willing to relocate to the Dallas, TX area to fulfill the responsibilities of this role effectively.
You must meet the hours and schedule requirements, working part-time Monday through Friday, 20 hours per week, with mornings strongly preferred.
You must possess strong written and verbal communication skills to interact professionally with vendors, staff, and leadership.
You must demonstrate reliability, punctuality, and a high level of professionalism in all interactions.
You must be comfortable managing multiple priorities and maintaining attention to detail in a fast-paced environment.
You must have experience with basic accounting and record-keeping tasks, including processing invoices and reconciling shipments.
You must be willing to perform light physical duties, including lifting supplies, running errands, and conducting routine facility checks.
Nice to have
Experience in office or facilities management within a mission-driven organization.
Proficiency in property management software or workplace tools.
Familiarity with event planning and coordination in a professional setting.
Knowledge of security protocols and coordination with safety teams.
Experience managing vendor contracts and purchase order processes.
Practical notes
This is a part-time role with a scheduled commitment of 20 hours per week.
Morning hours are strongly preferred for this position.
The work location is the Alliance Defending Freedom office in Plano, Texas, within the Dallas area.
