People Automation & AI Partner
Job description
People Automation & AI Partner at Vanta
About the role
This role is for a builder who will integrate directly with our Recruiting and People teams. You will create, implement, and scale the automated processes and AI agents that reduce repetitive tasks across hiring and HR operations, allowing our team to concentrate on strategic initiatives.
Key facts
What you'll do
Design, construct, and manage AI-driven workflows, automations, applications, and agents using tools like Claude, Claude Code, Dust, and Zapier to eliminate manual effort in Recruiting and People operations.
Take ownership of the Dust agent architecture for the People team, developing and maintaining agents, skills, and connections to assist recruiters, coordinators, hiring managers, and People partners.
Transform team concepts and individual ideas into reliable, documented, and adopted operational workflows.
Develop automations across the entire recruiting lifecycle, including outreach, interview scheduling, candidate communication, and offer management.
Act as a technical collaborator for Ashby-based workflows, treating the Applicant Tracking System as a primary automation platform alongside Dust and Claude.
Proactively identify opportunities for automation within People processes and rapidly prototype solutions, from AI-powered reporting to candidate communication.
Collaborate with the People Systems team on automations that interact with system architecture or data structure, without directly managing those configurations.
Work with People Operations to automate workflows that support their process execution.
Partner with Recruiting and People Operations teams to structure and maintain the knowledge base (Confluence/Guru) that powers AI agents and automations.
Evaluate, test, and implement new AI and workflow tools as the market evolves, prioritizing those that significantly reduce team workload.
Establish clear operational guidelines for launching, documenting, and maintaining automations and agents.
Contribute to the team's AI knowledge by sharing your building projects and successful strategies.
Build straightforward technical solutions using workflow builders, scripts, and integrations across our recruiting and People tool stack, including Ashby, TeamOhana, Juicebox, LinkedIn, Zapier, Checkr, Jira, HiBob, and Workday.
Requirements
Demonstrated experience building AI workflows, automations, or agents in a business operations capacity, with a track record of deployed solutions.
Proficiency with Claude Code or similar AI builder/operator environments, going beyond basic AI writing or research.
A proven capacity to translate complex, manual business processes into scalable and adopted workflows or internal tools.
Possess technical building skills within an operational setting, comfortable delivering solutions without a dedicated engineering team.
Experience working within Recruiting, Talent, People, or HR functions, collaborating with non-technical stakeholders.
A strong understanding of ATS-driven workflows, such as Ashby or comparable systems, is highly beneficial.
Possess sound judgment regarding when AI is the most appropriate solution compared to standard automation, scripting, or process redesign.
A history of successfully driving adoption of your creations, ensuring they are not just launched but also consistently used.
Comfort with ambiguity; this role involves defining its own processes and establishing new patterns as the function develops.
An analytical or data science background is a plus.
Show curiosity and a willingness to learn, applying AI responsibly to enhance efficiency and impact.
Must be authorized to work in the U.S. without requiring future employer sponsorship.
