This role will own all internal events and programs that foster our company culture and make remote and hybrid work feel cohesive. You will be instrumental in making our employees feel valued and celebrated, regardless of their location.
Key facts
What you'll do
- Lead the planning and execution of company-wide offsites, including venue selection, logistics, budget oversight, and on-site management.
- Collaborate with team leads to organize and execute team-specific events and offsites, ensuring alignment with budget and company timelines.
- Develop and manage a consistent schedule of virtual events designed to strengthen our distributed team's connection.
- Oversee relationships with coworking space providers and physical office vendors, handling renewals, capacity, and daily operational needs.
- Serve as the primary point of contact for in-office or coworking space requirements, such as desk availability and access.
- Evaluate and suggest new coworking locations to accommodate team growth and geographical shifts.
- Manage the entire rewards and recognition program, from platform selection to nomination processes and celebration moments.
- Enhance the overall remote and hybrid employee experience through initiatives like company merchandise, thoughtful onboarding touches, and meaningful rituals.
- Source, negotiate with, and manage a variety of vendors including venues, caterers, travel agencies, AV providers, and swag suppliers.
- Maintain and reconcile event budgets, providing forecasts and promptly identifying any spending variances.
- Handle all event logistics, including invitations, RSVPs, travel arrangements, run-of-show documentation, and post-event follow-up.
- Gather and analyze feedback from events to continuously improve future programming.
- Travel approximately 10-25% of the time to support in-person events.
Requirements
- Minimum of 7 years of experience managing events as the primary owner at a fast-paced tech company.
- Proven ability to plan and execute in-person, virtual, and hybrid events, including multi-day offsites for groups ranging from 10 to over 450 attendees.
- Experience managing physical workspaces or coworking relationships, including vendor agreements and daily operations.
- Demonstrated skill in negotiating and managing vendor contracts effectively.
- Strong financial acumen with experience in budget forecasting, tracking expenditures, and adhering to financial commitments.
- Excellent organizational skills with the capacity to manage multiple events and programs concurrently without losing track of details.
- Composure and problem-solving abilities in high-pressure situations during on-site events.
- Clear and effective written and verbal communication skills, with the ability to coordinate across different teams and levels.
- Willingness and ability to travel approximately 10-25% of the time.
- Must be able to work from the San Francisco Bay Area office as needed.

- Experience managing a rewards and recognition platform like Bonusly, Nectar, or Motivosity.
- Proficiency with organizational tools like Asana, Notion, or Airtable.
- Experience designing programs specifically for a distributed or fully remote workforce.
- A background in hospitality, production, or venue operations.
- An eye for photography or videography to capture event moments.
- Experience in measuring the effectiveness of events and programs through surveys and data analysis.

- Salary range: $118,000 - $166,000 USD
