ESOP Management Specialist - HR Operations

About the role

We are seeking a specialist to oversee the full lifecycle of our equity programs. You will serve as the primary point of contact for stock administration, ensuring that all equity operations align with financial and legal standards while supporting our workforce.

What you'll do

• Oversee the end-to-end ESOP process including issuing grants, managing vesting timelines, processing exercises, and handling cancellations or exits.
• Keep equity records precise and updated within our management software.
• Collaborate with internal Finance, Legal, and Payroll departments, as well as external vendors and trustees to execute transactions.
• Draft and verify grant documentation, exercise paperwork, and internal announcements.
• Assist with equity-related tasks during the hire and exit process.
• Monitor adherence to tax laws, accounting standards, and internal policy guidelines.
• Resolve staff inquiries regarding their equity status, tax implications, and program rules.
• Build and maintain reports, dashboards, and analytics tracking grant utilization and vesting status.
• Perform routine audits to verify data integrity and process adherence.
• Propose and implement improvements to streamline administrative workflows.

Requirements

• Bachelor degree in Commerce, Finance, Human Resources, Business Administration, or a related field.
• 3 to 7 years of professional experience in ESOP management, equity administration, total rewards, or HR operations.
• Deep knowledge of equity compliance, tax regulations, and ESOP administration.
• High level of proficiency in Microsoft Excel and data reporting software.
• Strong organizational skills and the ability to maintain strict confidentiality.

• Prior experience managing equity programs within a listed company or a fast-growing business environment.
