Data Center Asset Management Specialist

About the role

You will ensure that every piece of hardware, from the moment it's ordered to the day it's decommissioned, is tracked with 100% accuracy. You will own data center asset lifecycle management, covering the entire process from receiving, deployment to retirement for all core DC equipment. You will conduct daily operations including inbound and outbound hardware asset management, cycle count, RMA, relocation, decommission, inventory management, and more. You will track and document data center asset receipts, moves, adds, changes, and decommissioning with precision. You will act as the first point of escalation for all hardware asset management operational matters across all regions. You will maintain standard operating procedures and promote best practices company wide while incorporating them into asset management systems. You will interface with Accounting, Finance, Engineering and Compliance teams to ensure asset management compliance and governance. You will identify and drive continuous improvement projects focused on data center and warehouse management process optimization and scalability.

What you'll do

• Verify data center asset existence, ownership, and location through rigorous cycle counts and audits to maintain integrity.
• Manage the full data center asset lifecycle from initial intake and deployment through relocation, maintenance, and final decommission.
• Execute daily operations for hardware asset management including inbound logistics, outbound transfers, cycle counting, and RMA processing.
• Track and document every data center asset receipt, move, add, change, and decommission event in authoritative records.
• Process return merchandise authorizations and coordinate replacements to uphold service levels and inventory accuracy.
• Relocate and reassign hardware assets dynamically across zones, racks, and cabinets while preserving configuration integrity.
• Conduct periodic physical inventory and asset audits at data centers to validate that system records match physical reality.
• Serve as the primary escalation contact for hardware asset management issues impacting multiple regions or critical infrastructure.
• Codify and maintain standard operating procedures for asset management and integrate them into enterprise asset tracking systems.
• Support processes to ensure all fixed assets are physically or systematically verified and aligned with the company's data center infrastructure management system and asset tracking systems.
• Analyze high volumes of unstructured data, define appropriate data structures, and transform raw information into actionable operational insights.
• Maintain data governance standards that enable business users to easily discover the data they need by documenting definitions, sources, and business rules.
• Coordinate recurring physical inventory counts and special audit initiatives to ensure ongoing accuracy and compliance.
• Identify and lead continuous improvement initiatives that enhance data center and warehouse management processes, driving scalability and efficiency.
• Interface cross functionally with Accounting, Finance, Engineering, and Compliance to resolve discrepancies and ensure policy adherence.
• Provide detailed reporting on asset movement, utilization, and retirement to support strategic planning and financial controls.
• Implement controls and checks that reduce shrinkage, prevent misplacement, and extend the useful life of critical infrastructure.
• Collaborate with logistics and procurement teams to reconcile deliveries, validate configurations, and streamline deployment workflows.
• Monitor key performance indicators for inventory accuracy, cycle count variance, and audit compliance to drive operational excellence.
• Leverage warehouse management and data center infrastructure management tools to automate tracking and reduce manual effort.

Requirements

• Bring 3+ years of experience in warehouse and inventory management, preferably within high-tech or hardware focused environments.
• Demonstrate a strong understanding of inventory control principles, warehouse systems, and ERP software such as NetSuite.
• Show excellent organizational abilities and proven capacity for cross functional collaboration across technical and business teams.
• Exhibit excellent inventory reconciliation experience when working with large data sets using tools like Google Sheets and Excel.
• Possess the ability to lift up to 50 lbs and confidently operate warehouse type equipment in a active data center environment.
• Maintain strong attention to detail and a firm commitment to operational discipline under varying workloads.
• Hold eligibility to work in the United States without sponsorship for this role at this time.
• Thrive in a fast paced, dynamic setting where accuracy, reliability, and process adherence are essential.
• Communicate clearly and professionally in written and verbal formats with stakeholders at all organizational levels.
• Adhere to company policies, security procedures, and compliance requirements in all asset management activities.

Nice to have

• Apply prior experience in data center, electronics, or hardware deployment environments to streamline operations.
• Leverage background in compliance, standards, and governance frameworks such as SOX and NIST 800-88.
• Draw on exposure to fixed asset tracking methodologies and participation in physical inventory audits.

Practical notes

• This role requires presence in our San Jose office location 4 days per week; Lambda's designated work from home day is currently Tuesday.
• This role is eligible for salary band verification upon hire.
