About the role
Figma is seeking an organized professional to support three senior leaders within our People organization. You will manage complex administrative operations while helping our leadership team maintain focus and alignment during a period of growth.
Key facts
What you'll do
- Manage calendars, travel arrangements, meeting logistics, email correspondence, and task tracking for three executives.
- Act as a strategic partner to leadership by identifying opportunities to improve team cohesion and operational efficiency.
- Provide recommendations on prioritization and time management to optimize executive productivity.
- Serve as a delegate for administrative approvals, including expense reports and purchase orders, while adhering to internal policies.
- Develop presentations and essential documentation for leadership use.
- Collaborate with the broader People team and internal stakeholders to coordinate company milestones and events.
- Streamline workflows and internal processes across the department.
Requirements
- Minimum of 6 years of experience in senior-level administrative support.
- Proven ability to thrive in high-speed environments and adapt to shifting priorities.
- Strong communication skills with the ability to engage diverse stakeholders both in person and digitally.
- High level of discretion and reliability when handling sensitive or confidential information.
- Ability to anticipate needs and proactively connect information across various projects.
Nice to have
- Familiarity with the Figma product suite.
- Experience supporting large teams of 100 or more, particularly in global settings.
- Background in supporting Recruiting or Workplace operations.

Practical notes
Annual Base Salary Range: $127,000 to $269,000 USD. Compensation is determined by individual qualifications, market factors, and location. Benefits include equity, health/dental/vision insurance, retirement contributions, parental leave, mental health support, and flexible PTO.
