About the role
The is responsible for the secure and efficient daily operations of the Herndon facility, serving as a key enabler for national security mission success. This role requires a proactive leader who establishes and maintains the operational rhythm from the start of the business day through final sign off, ensuring continuity and reliability. You will act as a central point of contact, managing communications and directing inquiries to safeguard smooth workflow and team readiness. The position demands consistent onsite presence to uphold safety protocols, compliance standards, and the integrity of the secure environment. You will drive calm, effective responses to routine and urgent requests while preserving structured, predictable office routines. This role reports directly to the Vice President of Operations and is defined by a requirement for full time, uninterrupted onsite presence during standard business hours. You will own critical administrative functions that underpin the professionalism and security posture of the facility.

What you'll do
- Establish and enforce office supplies standards while forecasting monthly consumables spend to control costs and prevent shortages.
- Coordinate facility needs by managing maintenance requests, security protocols, and space planning to optimize workflow and employee comfort.
- Answer the office phone, take detailed messages, and route calls accurately to the correct teams or designated points of contact.
- Process inbound and outbound sensitive materials with strict adherence to defined packaging and labeling protocols to maintain security and compliance.
- Manage vendor relationships for facilities services, focusing on negotiating cost effective solutions that meet national security partner expectations.
- Handle all incoming and outgoing mail, coordinate complex shipping schedules, and maintain meticulous records to support audits and compliance reviews.
- Support event setup for meetings, training sessions, partner engagements, and client visits, including ordering materials and managing cleanup to ensure seamless execution.
- Monitor the office phone line and secure facility standards on an ongoing basis to identify and resolve issues before they escalate.
- Assist in preparing detailed budgets related to facilities, inventory, and shipping expenses to provide accurate forecasting and financial oversight.
- Respond to employee inquiries about resources and availability in real time to maintain smooth daily operations and high satisfaction.
- Collaborate closely with IT and security teams to ensure facilities support secure operations, addressing needs and mitigating risks at every turn.
- Oversee inventory tracking programs and exercise oversight for high value items exceeding $500, ensuring accountability and protection of assets.
Requirements
You must hold current eligibility to work in the United States without sponsorship, now or in the future, ensuring compliance with federal employment regulations. A background of 3-5 years managing office operations within a secure environment is required to demonstrate familiarity with sensitive workflows. You must be capable of performing all assigned duties onsite at the Herndon location 100% of the time during standard working hours, with no remote exceptions. Understanding national security partner expectations and compliance standards is necessary for success in this role and must be reflected in your professional history. Demonstrated skill with inventory tracking programs and proven oversight of high value items above $500 is required to ensure accurate asset management and reporting. You must maintain a strong commitment to safety, security, and operational integrity at all times while representing Clarity Innovations professionally.
