AISST/MAIA Workshop Lead

About the role

You will own the full operational lifecycle of the Harvard-MIT AI Safety Workshops held in Essex, MA, translating strategic goals into repeatable execution across scheduling, speaker curation, and attendee management. You will design session structures that meaningfully engage both technical and non-technical participants while maintaining alignment with AI safety research priorities. You will coordinate directly with student leadership at Harvard AISST and MIT MAIA to ensure programming reflects community needs and scales efficiently. You will manage relationships with high-caliber speakers and partner organizations to maintain a pipeline of relevant, cutting-edge content. You will synthesize qualitative and quantitative feedback to iteratively improve each workshop cycle. You will contribute to the design of specialized research workshops that extend beyond the core curriculum into emerging technical domains. In this role, you will serve as a visible steward of the CBAI brand and its commitment to rigorous, community-driven AI safety practice.

Key facts

What you'll do

• Orchestrate end-to-end logistics for approximately eight Harvard-MIT AI Safety Workshops per academic year in Essex, MA, each hosting around forty participants and ten guests.
• Coordinate closely with the Harvard AI Safety Student Team and MIT AI Alignment to scale programming from five to eight workshops per academic calendar year.
• Curate and outreach to speakers from frontier AI safety organizations such as Redwood Research, METR, Google DeepMind, Anthropic, and OpenAI safety teams.
• Lead participant selection in partnership with AISST and MAIA, balancing university representation and domain expertise.
• Design workshop session formats, discussion structures, speaker slots, and career-oriented programming to maximize practical impact.
• Establish and manage physical set-up and take-down procedures for in-person events to ensure smooth execution.
• Gather and analyze participant and guest feedback to iteratively refine workshop content and delivery quality.
• Support specialized research workshops, including weekend-long events in partnership with Harvard, MIT, Northeastern, and external research groups like FAR.AI.
• Build and maintain relationships with faculty and research group leads to identify and design workshop concepts that address real research needs.
• Own end-to-end logistics for specialized workshops, including venue selection, scheduling, speaker coordination, and participant experience.

Requirements

You must be legally authorized to work in the United States without sponsorship, as we are unable to provide work authorization at this time. You must be located in or be willing to relocate to the Cambridge Massachusetts area to perform this role. You must commit to a full-time schedule with a standard forty-hour work week during the standard academic calendar and event execution periods. You must reliably meet all deadlines related to workshop planning, participant review cycles, and event execution. You must demonstrate strong written and verbal communication skills to interface with academic researchers, industry professionals, and students from diverse backgrounds. You must manage multiple concurrent tasks and shifting priorities while maintaining attention to detail and follow-through. You must exhibit intellectual curiosity and the ability to quickly familiarize yourself with technical AI safety concepts and literature. You must collaborate effectively within a distributed team that includes student leaders, faculty affiliates, and external partners. You must maintain discretion and professionalism when handling sensitive research topics and stakeholder feedback.

Nice to have

Experience organizing academic or research workshops in technical or interdisciplinary fields. Familiarity with AI safety research communities, terminology, and active research directions. Prior engagement with Harvard, MIT, or Northeastern through coursework, research, or extracurricular involvement.

Practical notes

This role is full-time and requires availability during standard academic terms and key event periods. Travel is primarily limited to the Essex, Massachusetts venue and occasional Cambridge-Boston area networking events. This position is not eligible for visa sponsorship.
