You will be the primary point of contact for guests and staff, maintaining an organized and comfortable workplace.

What you'll do
- Manage the daily opening and closing procedures for the SF office, ensuring it is prepared and inviting.
- Greet and assist all visitors, including candidates, vendors, and employees, creating a positive first impression.
- Handle incoming mail, deliveries, and packages, along with general office inquiries.
- Conduct regular inspections of the office space to identify and address potential issues proactively.
- Maintain cleanliness and organization in all common areas, including kitchens, conference rooms, and storage.
- Coordinate with various external partners such as cleaning services, building management, and food vendors.
- Resolve common office equipment problems, including AV systems, printers, and coffee machines.
- Assist in organizing and executing team events, happy hours, and other internal celebrations.
- Support new employee onboarding with desk setup, access, and supply coordination alongside other departments.
- Contribute to office relocation, expansion, and improvement projects as they arise.
Requirements
- Prior experience in office coordination, hospitality, reception, event planning, or customer service, with a focus on guest satisfaction.
- A warm, professional, and approachable demeanor, skilled at making people feel comfortable.
- A self-starter who identifies needs and sees tasks through to completion.
- Highly organized, with established methods for managing recurring duties, vendor communications, and inventory.
- Clear and proactive communication skills, ensuring stakeholders are always informed.
- Ability to respond promptly and effectively to communications via Slack.
- Sound judgment to prioritize tasks, escalate issues appropriately, and remain composed under pressure.
- Familiarity with common office technology and software.
- Inquisitive and practical, capable of asking relevant questions while also finding straightforward solutions.
- A humble and energetic team player who enjoys contributing to the group dynamic.
